How to Get Paid on Time Without Chasing Every Invoice

The biggest income leak in a solo service business almost never comes from your rates. It comes from the lag between finishing the work and actually getting paid for it — the recurring bill you meant to re-send and forgot about until three weeks in, the slot you held open for a client who never showed and never paid, the invoice you had to sit down and build by hand after a ten-hour day when you'd rather be anywhere else. Four changes close that gap from different angles: recurring invoices handle the client you bill the same way every cycle, deposits and cancellation-fee protection make a booking mean something before you block off the time for it, service variants keep the price on the invoice matching the work that actually got done, and invoice discounts let you build the bill in seconds instead of from scratch. Each one removes a specific point of friction between "the job is done" and "the money is in your account."

Recurring Invoices: Bill the Same Client Without Rebuilding the Bill

This one's a Pro-plan feature, so it's worth saying that up front before you go looking for it on a lower tier.

If you've got a client you bill the same way every cycle — a lawn-care client's monthly mow, a cleaner's biweekly visit, a maintenance retainer you run every quarter — you can now set that invoice to generate and send itself on a schedule: weekly, biweekly, monthly, quarterly, or a custom interval if none of those quite fit. You set it up once, with the service and the amount, and pick how often it should go out.

Here's the part that matters most, because it's easy to assume otherwise: this doesn't auto-charge a card on file. Each cycle, the system builds a normal invoice and sends it to the client the same way you always have — they still open it and pay it the way they always would. Nothing gets pulled from their account without them acting on it. What you're automating isn't the collection, it's the remembering. The win here is killing the "wait, did I already bill them this month?" question that eats a few minutes of mental overhead every single cycle, multiplied across every recurring client you carry. That question, asked fifteen times a month across a client list, is a real tax on your attention even when the answer is always "yes, on the 3rd, like always."

Deposits and Cancellation-Fee Protection: Make the Slot Real Before You Block It Off

This one needs NSuite's online-payments setup turned on, which is available starting on the Starter plan — you don't need Pro to use it.

Once payments are set up, you can require a deposit, or keep a card on file to cover a cancellation fee, at the moment someone books with you. Until that clears, the appointment sits as pending rather than confirmed — it doesn't take a real spot on your calendar until the money side is settled. You're the one who sets the number: say, a $50 deposit for a job that justifies it, or a 20% cancellation fee if someone no-shows after booking. Nothing here is a platform default; it's a setting you configure to match what your own no-show rate and job sizes actually call for.

We made a version of this argument back in July, in a post about photographer deposit policies: that a booking shouldn't count as confirmed until payment clears, because a "pending" slot is what actually stops a client from treating your calendar as a free placeholder. That argument isn't just advice anymore — it's built into the booking flow itself.

One reassurance worth knowing before you turn this on: requiring a deposit doesn't mean an honest client who gets distracted mid-checkout is simply gone. If someone starts booking but doesn't finish the deposit or card-save step, reminder emails go out over the next few hours with a link that restores their exact previously-picked time, service, and variant — they don't re-enter anything, they just pick back up where they left off. The deposit requirement filters out the no-shows without quietly costing you the distracted-but-genuine bookings along with them.

Service Variants: One Service, Honest Price Tiers
